Managing your membership list is not easy, various limits have been put forward to how many on a list can a volunteer manage. Essentially this depends on a number or other factors.
Is there only one membership list in the group or is there a number:-
- One for subscriptions
- One for e-mails
- One for each membership type.
That’s just the beginning, then you can add a list of supporters of your events, local councillors and member of parliament.
Varying periods of payment:
Along with methods
- Standing order
- Direct Debit
It can become a nightmare, what you really could use is a system that can share the database, with the responsible committee members all having access to the same up to date information. This way you can monitor the movement in membership keep an eye on the events and attendees.
With such communications tools as e-mail you can reach your membership as often as you wish, instead of a monthly or quarterly events bulletin you can be little and often, bite size chunks that will be read by the membership, instead of the six pages that will be ignored.
Members have a habit of moving e-mail addresses and not telling all of their friends; unless the e-mail is bounced you will never know they are not receiving your messages. In Agoria all mail sent to a member by a club official is stored in the members email inbox. In this way if there are any problems in the future there is a reference record attached to their membership details.
